It
is important to us that your event is spectacular. We will do all we can to assure you a
wonderful affair. However, it is
necessary that we have an understanding with our guests about the procedures
when booking an event.
Assigned Function
Space
Private
rooms are assigned by the guaranteed number of people attending. There may be
no charge for function space when adequate guestrooms are used or when group is
proportionate to hotel’s minimum requirements.
Room set-up fee may be applied if attendance drops below the estimated
number. The hotel reserves the right to allocate or change rooms, suitable to the
anticipated attendance.
Guarantees
To
ensure the success of your event, please notify your catering contact of the
number of guests attending 72 hours (three business days) prior to the
function. Please note: The guarantee will not be subject to reduction-if no
guarantee is received at the appropriate time, the expected count becomes the
guarantee and changes will be made accordingly.
Late Night Service
An
additional $200.00 per hour will be charged for any event that exceeds the
contracted time
Service Charge/ Tax
Twenty-two
(22%) percent taxable service charge will be added to all food and beverage and
audio-visual billings. A 6.5% Sales Tax will be added to all functions
Price Changes
Catering
prices are subject to change without notice: all contracted prices will be
honored
Outdoor
Functions
The Hotel reserves the right to make the final decision
regarding outdoor functions. The decision to move a function to an indoor
location will be made no less than four (4) hours prior to the event based on
prevailing weather conditions and the local forecast.
Packages
Packages
for meetings and events may be delivered to the Hotel three (3) business days prior to the
date of the function. The following information must be included on all
packages to ensure proper delivery:
1. Name of Organization
2. Name of Sales Person
3. Date of Function
Payments
A pre-arranged deposit schedule will be required for all events. Credit
applications must be completed and approved by the Hotel Controller no later
than thirty (30) days prior to arrival to establish billing privileges. Final
payment will be due with the guarantee.
Personal checks will not be accepted for advance payment on events
occurring within a fifteen- (15) day period. Where credit is established,
payment of the balance shall be due 30 days from the date of the function.
Food
Service
In accordance with established guidelines from the Florida State Health
Department, it is the policy of Palm Beach Gardens Marriott not to allow any
food from Banquet Buffets to be removed from the property.
We offer a complete selection of beverages for your event. Please note
that alcoholic beverage sales and service are regulated by the State of Florida. As a licensee,
we are responsible for administration of these regulations. Therefore, it is
our policy that no liquor, beer or wine be brought into any public or private
event from outside sources.
Security
and Safety
The Palm Beach Gardens Marriott
shall not be responsible for damage or loss of any merchandise or articles
brought into the Hotel. The Hotel
requires chaperones for children under the age of 18 with one adult per 10
children. The Hotel will not assume responsibility for underage participants at
any event.
